OURSPACE PRIVACY POLICY

OurSpace Technologies Inc. (“OurSpace,” “we,” “our,” or “us”) values privacy, transparency, and trust. This Privacy Policy explains how we collect, use, disclose, store, retain, and protect personal information when you access or use the OurSpace mobile application, website, related mobile services, and any associated features, communications, payment tools, or functionality (collectively, the “Platform”).
OurSpace currently operates in Alberta and Ontario, Canada. Depending on the nature of the activity and the location of the individuals involved, our handling of personal information may be governed by Alberta’s Personal Information Protection Act (“PIPA”), the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”), including for commercial activities involving users in Ontario or personal information moving across provincial or national borders, and other applicable Canadian privacy laws.
This Privacy Policy should be read together with our App Terms & Conditions and the other agreements and policies incorporated into them, including the Host Agreement, Renter Agreement, Refund & Cancellation Policy, Prohibited Items Policy, Help Centre guidance expressly identified as binding, and Resolution Centre procedures.
1. Who This Policy Applies To
This Privacy Policy applies to individuals who access or use the Platform, including people who:
- create or use an account;
- browse, post, request, accept, confirm, or manage storage or parking bookings;
- act as a Renter, a Host, or both within one account;
- upload photographs, listings, reviews, messages, or other content;
- complete identity, payment, tax, business, account, drop-off, pickup, or other verification;
- contact customer support or submit a Resolution Centre request;
- receive service or marketing communications; or
- otherwise interact with OurSpace through the Platform.
The Platform is intended only for individuals who are at least 18 years old and legally capable of entering into a binding agreement.
2. Our Privacy Accountability
OurSpace is responsible for personal information under its control, including information transferred to service providers for processing on our behalf.
Our Privacy Officer is accountable for our compliance with applicable privacy laws and for responding to privacy questions, access or correction requests, consent withdrawals, and complaints.

We may ask for information reasonably necessary to verify your identity before responding to a privacy request. Please do not send identity documents or other highly sensitive information by ordinary email unless we specifically ask you to use an approved secure method.
3. Personal Information We Collect
We collect only personal information that is reasonably required for the purposes described in this Privacy Policy or disclosed to you at or before the time of collection.
3.1 Account, Profile, and Authentication Information
We may collect:
- first and last name;
- email address;
- phone number;
- city, province, postal code, and general location;
- profile photograph;
- account identifiers and user ID;
- Host or Renter status;
- account settings and preferences;
- login, authentication, and account-recovery information;
- authentication provider and provider-issued identifiers if you use Apple, Google, Facebook, phone, or another supported sign-in method; and
- other profile information you choose to provide.
Passwords and third-party sign-in credentials may be processed by our authentication providers. We do not require you to provide us with the password you use for an Apple, Google, Facebook, or other third-party account.
3.2 Identity, Account, and Eligibility Verification Information
Where verification is required, OurSpace or a verification provider such as Stripe Identity may collect or process:
- legal name;
- date of birth;
- residential address;
- phone number and email address;
- government-issued identification details or images;
- a selfie, facial image, or liveness check;
- verification status and results;
- information used to assess whether an identity document is valid;
- address, phone, payment, banking, tax, or business verification information; and
- fraud, risk, or account-integrity indicators.
Depending on the verification process, the provider may collect sensitive identity information directly from you. OurSpace may receive the verification outcome and limited identifying or risk information rather than the full document or image. We will provide additional notice and obtain any additional consent required by law before using facial images, biometric identifiers, or similarly sensitive information for a purpose that is not reasonably expected from the verification process.
Verification confirms only that specified checks were completed. It does not guarantee that a user is trustworthy, safe, financially responsible, or suitable for a booking.
3.3 Listing and Space Information
If you create or manage a listing, we may collect:
- listing title, description, category, price, dimensions, and availability;
- listing and space photographs;
- the full address of the storage or parking space;
- approximate map location and geocoding information;
- access instructions and arrangements;
- information about security, accessibility, environmental conditions, and restrictions;
- proof that you own, occupy, manage, or are authorized to list the space;
- listing status, edits, and history; and
- other details you submit about the space.
Before a booking is confirmed, the Platform may display an approximate location rather than a full street address. The exact address and necessary access information may be shared with the other booking participant when reasonably required to arrange or perform a confirmed booking.
3.4 Booking, Transaction, and Verification Records
We may collect:
- Booking Requests, acceptances, declines, confirmations, changes, and cancellations;
- booking dates, start times, end requests, billing cycles, and renewal information;
- booking status and history;
- payment, payout, refund, failed-payment, chargeback, and account-balance records;
- drop-off, pickup, and booking-end records;
- security codes and confirmation results;
- timestamps and access-related records;
- pickup, condition, item, and space photographs;
- no-show, late-removal, abandoned-property, or access-issue records;
- communications and evidence connected to the booking; and
- records showing the version of the Terms, policies, role-specific agreements, or booking terms presented or accepted, the acceptance method, user ID, and relevant date, time, and technical information.
3.5 Payment, Payout, Billing, and Tax Information
We and our payment providers may collect or process:
- payment method and billing information;
- payment tokens and limited card details, such as card brand, expiry date, and last four digits;
- transaction, fee, tax, payment, refund, and chargeback records;
- Host payout account and banking information;
- payout status, holds, reserves, and failures;
- billing address and location used to determine applicable taxes;
- legal name, address, province, postal code, and space address;
- business name, business details, registration status, and GST/HST number, where applicable;
- tax calculation, reporting, documentation, and verification information; and
- payment fraud, risk, or verification information.
Full payment-card and bank-account credentials are generally collected and processed directly by Stripe or another payment provider rather than stored by OurSpace. Those providers may process information under their own terms and privacy policies.
3.6 Messages, Reviews, Support, and Other User Content
We may collect content you submit, send, or receive through the Platform, including:
- in-app messages and attachments;
- reviews and ratings;
- support requests and communications;
- reports about users, listings, bookings, messages, or conduct;
- Resolution Centre submissions;
- claim, dispute, payment-dispute, or chargeback evidence;
- photographs, documents, descriptions, and other uploaded material; and
- records of moderation, blocking, restrictions, investigations, or enforcement.
Messages are visible to the participants in the conversation. OurSpace may access, review, moderate, preserve, or disclose messages and other User Content where reasonably necessary for customer support, safety, fraud prevention, payment or booking administration, dispute handling, legal compliance, or enforcement of our agreements and policies.
3.7 Trusted or Emergency Contact Information
If the Platform allows you to provide an optional trusted or emergency contact, we may collect that person’s:
- name;
- phone number or email address;
- relationship to you; and
- information relevant to a serious booking situation.
You must have authority to provide this information and should tell the contact that you have provided it to OurSpace. We may use the information where reasonably necessary because of death, incapacity, a serious safety concern, an extended inability to reach you, an urgent retrieval or access issue, or property remaining while you are unreachable.
Providing a person’s contact information does not automatically authorize that person to access property, control your account, change payment information, receive a refund, terminate a booking, obtain private records, or act for your estate. We may require proof of legal authority before allowing another person to act for you.
3.8 Device, App, Website, and Technical Information
When you use the Platform, we or our service providers may automatically collect:
- device type, model, and operating system;
- browser type and language settings;
- App version;
- IP address;
- device, installation, session, and push-notification identifiers;
- login and session activity;
- pages, screens, features, and links used;
- referring page or source;
- dates, times, and duration of activity;
- crash reports, diagnostics, performance data, and error logs;
- security, fraud, and abuse-prevention signals; and
- cookie, SDK, pixel, local-storage, or similar technology information.
3.9 Location Information
Depending on your device settings and permission choices, we may collect approximate or precise device location to:
- display nearby storage or parking listings;
- improve map and location-based search results;
- help you identify spaces in your area;
- support address entry, mapping, geocoding, and booking coordination;
- prevent fraud or investigate suspicious activity; and
- provide other location-based Platform features disclosed to you.
You can manage device location permissions through your device settings. Some features may not function properly if location access is disabled. A Host’s listing address may also be collected directly from the Host even if device location is disabled.
3.10 Camera and Photo Library Information
With your permission, the Platform may access your camera or photo library so that you can capture or upload:
- profile photographs;
- listing and space photographs;
- item or condition photographs;
- drop-off and pickup verification photographs;
- identity-verification images where applicable; and
- support, claim, or dispute evidence.
We access only the images you select or create through the relevant Platform feature, subject to the permission level you grant. You can manage camera and photo permissions through your device settings, although doing so may limit features that require photographs.
3.11 Communications and Preference Information
We may collect:
- push-notification preferences and delivery tokens;
- email and in-app communication preferences;
- marketing consent and unsubscribe records;
- delivery, open, click, or interaction information where permitted; and
- records of service notices, policy notices, and communications sent to you.
4. How We Collect Personal Information
We may collect personal information:
- directly from you when you register, complete a form or verification, create a listing, make or manage a booking, communicate, upload content, or use a Platform feature;
- automatically from your device, browser, or activity when you use the Platform;
- from another Platform user where the information relates to a booking, message, review, report, trusted contact, dispute, or safety issue involving you;
- from payment, payout, identity-verification, authentication, hosting, maps, geocoding, analytics, notification, communications, security, support, or other service providers;
- from professional advisors, insurers, payment networks, banks, or card issuers where relevant to a claim, dispute, refund, chargeback, or legal matter;
- from public sources where collection is permitted by law; and
- from regulators, courts, law enforcement, emergency services, or other authorities where permitted or required by law.
If we collect personal information from another source, we will use it only for reasonable purposes connected to the reason it was collected or as otherwise permitted by law.
5. How We Use Personal Information
We may use personal information to:
- create, authenticate, maintain, and secure accounts;
- provide profiles and role-based Host and Renter features;
- create, display, search, map, administer, and moderate listings;
- enable Booking Requests, confirmations, recurring bookings, changes, cancellations, and booking-end processes;
- allow users to communicate and coordinate access, drop-off, pickup, and retrieval;
- process payments, recurring charges, fees, taxes, refunds, chargebacks, and Host payouts;
- calculate, document, report, collect, or remit applicable taxes;
- conduct identity, payment, phone, banking, address, tax, business, account, and fraud verification;
- record policy acceptance and maintain booking and transaction records;
- complete drop-off, pickup, security-code, photograph, and booking-end verification;
- provide customer support and respond to questions or complaints;
- review and resolve Resolution Centre requests, payment disputes, claims, chargebacks, and safety matters;
- publish listings, limited profile details, and reviews as part of the Platform;
- personalize content, maps, and local search results;
- send service communications, confirmations, reminders, security notices, and policy or operational updates;
- send marketing communications where we have the consent or other authority required by law;
- detect, prevent, investigate, and respond to fraud, misuse, prohibited items, unlawful activity, security incidents, and violations of our agreements or policies;
- moderate User Content and enforce restrictions, holds, suspensions, or account terminations;
- improve and develop Platform features, accessibility, reliability, performance, design, safety, and user experience;
- conduct analytics, testing, troubleshooting, and research using information that is limited, aggregated, or de-identified where reasonably possible;
- establish, exercise, or defend legal rights and claims;
- comply with legal, consumer-protection, privacy, tax, accounting, insurance, regulatory, and law-enforcement obligations; and
- protect the rights, property, safety, and integrity of OurSpace, our users, service providers, and others.
We will not use personal information for a new purpose that is materially different from the purposes identified at collection without providing notice and obtaining additional consent where required by law.
6. Consent and Your Choices
We obtain consent in a form appropriate to the sensitivity of the information and the reasonable expectations of the individual. Consent may be express or implied where permitted by law. We may also collect, use, or disclose personal information without consent where authorized or required by law.
You may decline to provide optional information or withdraw or vary consent by contacting us or changing available device or account settings. If the information or permission is reasonably necessary to provide a feature, process a booking or payment, verify an account, comply with law, or protect the Platform, declining or withdrawing consent may prevent you from using that feature or may require us to restrict or close your account after outstanding obligations are addressed.
Withdrawal does not apply retroactively and does not affect processing already lawfully completed. We may continue to retain or use information where permitted or required for active bookings, payments, payouts, refunds, chargebacks, taxes, accounting, fraud prevention, disputes, safety, enforcement, legal claims, or regulatory obligations.
7. When We Share Personal Information
We do not sell or rent personal information. We do not disclose personal information to third parties for their own independent direct marketing without the consent required by law.
We may disclose personal information as follows.
7.1 With Other Users
We may share information reasonably required to operate the marketplace and a booking, including:
- limited profile information, such as first name, profile photograph, ratings, and reviews;
- listing details, photographs, approximate location, availability, price, and applicable space information;
- confirmed booking details;
- the exact space address and necessary access or coordination information when reasonably required for a confirmed booking;
- messages and attachments sent to another user;
- booking, drop-off, pickup, or verification status; and
- information reasonably necessary to address a support, safety, property, or dispute issue involving the users.
Users who receive another person’s personal information may use it only for the booking, communication, safety, or other Platform purpose for which it was provided and must not misuse, publish, or disclose it unlawfully.
7.2 With Service Providers
We may transfer personal information to providers that perform services for us, including payment processing, payouts, identity verification, authentication, cloud hosting, database and file storage, maps, geocoding, analytics, crash reporting, fraud prevention, email, push notifications, customer support, security, and technical maintenance.
Our principal providers may include:
- Stripe, Stripe Connect, Stripe Tax, and Stripe Identity for payments, payouts, taxes, and verification;
- Google and Firebase services for authentication, cloud infrastructure, databases, storage, functions, maps or places, analytics, diagnostics, and notifications, as applicable;
- Apple, Google, or Facebook where you choose a supported third-party sign-in method;
- HERE Technologies, Google, or device-platform map providers for mapping, address lookup, places, and geocoding, as applicable; and
- Expo, Apple, and Google services for App operation and push-notification delivery, as applicable.
Providers may change as the Platform develops. We require service providers to handle information only for authorized purposes and to use appropriate safeguards, subject to their independent legal obligations. Some providers may also collect information directly from you and process it under their own privacy policies and terms.
7.3 Payment, Financial, and Transaction Parties
We may disclose information to Stripe, banks, card issuers, payment networks, payout institutions, tax providers, fraud-prevention services, and other transaction participants to authorize and process charges, recurring payments, payouts, refunds, payment failures, disputes, and chargebacks; calculate or report taxes; verify accounts; and prevent fraud.
7.4 Professional Advisors, Insurers, and Business Transactions
We may disclose information to lawyers, accountants, auditors, insurers, claims administrators, investigators, and other professional advisors where reasonably necessary for their services.
If OurSpace considers or completes a financing, investment, reorganization, merger, acquisition, sale, transfer, insolvency proceeding, or other corporate transaction, information may be disclosed under appropriate confidentiality and security arrangements as permitted by law. We will provide notice and obtain consent where required.
7.5 Legal, Regulatory, Safety, and Enforcement Disclosures
We may preserve or disclose information where we reasonably believe it is permitted or required to:
- comply with a law, regulation, warrant, subpoena, court order, or legally valid request;
- respond to regulators, tax authorities, law enforcement, emergency services, or other authorities;
- protect the life, health, or security of an individual or the public;
- investigate or respond to fraud, abuse, prohibited items, threats, safety concerns, unlawful activity, or policy violations;
- locate or address property left behind or a serious access or retrieval issue;
- enforce our agreements and policies;
- establish, exercise, or defend legal rights or claims; or
- protect the rights, property, safety, and integrity of OurSpace, our users, service providers, or others.
8. Public and User-Visible Information
Listings, listing photographs, descriptions, prices, approximate locations, availability, limited profile details, ratings, and reviews may be visible to other Platform users or, where a feature is publicly available, to website visitors.
Do not include personal information in a listing, review, photograph, message, or other field unless it is necessary and you are comfortable providing it for that purpose. We may remove or restrict content that exposes unnecessary personal information or creates a safety, legal, or privacy risk.
9. Service and Marketing Communications
9.1 Service Communications
We may send non-marketing communications that are reasonably necessary to administer the Platform, your account, or a booking, including:
- registration, login, verification, and security notices;
- Booking Requests, confirmations, changes, and reminders;
- payment, payout, tax, failed-payment, cancellation, refund, and chargeback notices;
- drop-off, pickup, booking-end, and review reminders;
- support, Resolution Centre, safety, and enforcement updates; and
- important legal, privacy, policy, or operational notices.
These communications may be delivered by email, push notification, in-App notice, or another method made available through the Platform. You may be unable to opt out of communications that are necessary to provide the Platform, administer an active booking, protect your account, or comply with law.
9.2 Marketing Communications
Where we have the consent or other authority required by Canada’s Anti-Spam Legislation (“CASL”), we may send newsletters, launch updates, product news, feature announcements, contests, promotions, or other commercial electronic messages.
Marketing messages will identify OurSpace and include an unsubscribe mechanism where required. You may withdraw consent through the unsubscribe link or by contacting us. We will process unsubscribe requests within the period required by law. Unsubscribing from marketing does not stop necessary service communications.
We may retain records of marketing consent, the source and date of consent, and unsubscribe requests to demonstrate compliance.
10. Cookies, SDKs, and Similar Technologies
The Platform may use cookies, software development kits (SDKs), pixels, device identifiers, local storage, and similar technologies to:
- keep you signed in and authenticate sessions;
- remember settings and preferences;
- provide maps, payments, messages, and other features;
- measure performance and diagnose errors;
- understand Platform usage;
- prevent fraud and protect security; and
- support service and marketing communications.
The technologies used by the website may differ from those used by the App. Browser controls may allow you to block or delete some cookies, and device settings may allow you to limit certain identifiers or permissions. Disabling them may affect Platform functionality. We will request any additional consent required for non-essential analytics, advertising, or tracking technologies.
11. De-Identified and Aggregated Information
We may create information that has been aggregated or de-identified so that it no longer identifies an individual. We may use and disclose that information for analytics, planning, safety, research, product development, and business purposes. We will not attempt to re-identify de-identified information except to test whether de-identification safeguards are effective or as otherwise permitted by law.
12. Storage and Cross-Border Processing
Personal information may be stored or processed in Canada, the United States, or other jurisdictions where OurSpace or its service providers operate. Information processed outside Canada may be accessible to courts, law enforcement, national-security authorities, or regulators under the laws of that jurisdiction.
OurSpace remains accountable under applicable Canadian privacy law for personal information transferred to providers for processing on our behalf. We use contractual, organizational, and technical measures appropriate to the sensitivity of the information and the services being provided.
You may contact our Privacy Officer for additional information about service providers outside Canada or our policies concerning cross-border processing.
13. Retention of Personal Information
We retain personal information only for as long as reasonably necessary for the purposes identified in this Privacy Policy or as permitted or required by law. Retention periods depend on factors such as:
- whether your account is active;
- whether a booking, payment, payout, refund, chargeback, tax matter, complaint, or dispute remains open;
- the sensitivity and type of information;
- fraud, safety, insurance, and enforcement needs;
- applicable limitation periods;
- legal, tax, accounting, regulatory, and recordkeeping requirements; and
- whether information is required to establish, exercise, or defend a legal claim.
For example, we may retain:
- account and profile information while your account is active and for a reasonable period afterward;
- booking, acceptance, transaction, payment, payout, refund, tax, and accounting records for legally required business-record periods;
- messages, photographs, verification records, reports, and dispute evidence for the period reasonably required to administer the booking, address complaints, prevent fraud, support safety, enforce our policies, and resolve or defend claims;
- marketing consent and unsubscribe records for CASL compliance; and
- security incident and privacy-breach records for the period required by law.
When information is no longer reasonably required, we will delete, securely destroy, or de-identify it. Information may remain temporarily in protected backups until overwritten under our backup schedule. Where information must be retained after an account is closed, we will limit access and use it only for the reason it was retained.
14. Safeguards and Privacy Breaches
We use administrative, technical, physical, and organizational safeguards appropriate to the sensitivity, amount, format, and storage of the personal information. These may include:
- role-based and restricted access;
- authentication and account-security controls;
- encryption in transit and, where appropriate, at rest;
- logging, monitoring, backup, and recovery controls;
- secure development, configuration, and vendor-management practices;
- staff confidentiality and privacy procedures; and
- incident-response and record-retention processes.
No internet, mobile, or electronic-storage system is completely secure, and we cannot guarantee absolute security.
If a privacy or security breach occurs, we will investigate, contain, assess, document, and respond to it. We will notify the appropriate privacy regulator and affected individuals where required by applicable law, including where the breach creates a real risk of significant harm.
15. Access, Correction, and Other Privacy Rights
Subject to applicable law, you may request:
- confirmation of whether we hold personal information about you;
- access to that personal information;
- information about how it has been used and to whom it has been disclosed;
- correction of inaccurate or incomplete personal information;
- withdrawal or variation of consent, where applicable;
- deletion of your account or personal information, subject to lawful retention; and
- information about our privacy practices and service providers.
Some information may be unavailable or redacted where access would reveal another person’s personal information, threaten someone’s safety, reveal confidential commercial information, be protected by legal privilege, interfere with an investigation or legal proceeding, or where another exception applies under law.
Requests should be made in writing to support@ourspacetech.com and should describe the information or correction requested in enough detail for us to locate it. We may verify your identity before responding. We will respond within the period required by applicable law, including within 45 calendar days for a formal request governed by Alberta PIPA, subject to any permitted extension.
16. Account Deletion
You may initiate or request account deletion through the in-App deletion process or the web-based deletion-request process made available by OurSpace.
Before completing deletion, we may require identity verification and resolution of matters connected to:
- active or recently completed bookings;
- pickup or property remaining in a space;
- outstanding payments, payouts, fees, refunds, or chargebacks;
- tax and accounting requirements;
- complaints, Resolution Centre requests, investigations, or legal claims;
- fraud prevention, safety, or policy enforcement;
- legal holds, court orders, or regulatory obligations; or
- other lawful recordkeeping requirements.
We may first deactivate or restrict an account and then delete or de-identify eligible information once outstanding matters are resolved. Deleting an account does not require us to delete information that we are legally permitted or required to retain. It also does not remove content already lawfully provided to another user, such as messages, transaction records, or reviews, although we may remove or de-identify account details where appropriate.
17. Children’s Privacy
The Platform is not intended for anyone under 18, and we do not knowingly permit a person under 18 to create an account or use the Platform. If we learn that we collected personal information from a person under 18 contrary to our policies or applicable law, we may disable the account and delete the information, subject to lawful retention and safety requirements.
18. Third-Party Sites and Services
The Platform may contain links to or integrations with third-party websites, applications, app stores, or services. A third party’s own privacy policy and terms apply when it collects or controls information directly from you. We are not responsible for the independent privacy practices of third parties, but we remain accountable for personal information transferred to providers for processing on our behalf as required by applicable law.
19. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to the Platform, our practices, service providers, or legal requirements. We will post the updated policy on the Platform and update the “Last Updated” date.
For a material change, we will provide additional notice through email, the App, the website, or another reasonable method before the change takes effect where required or appropriate. If a change introduces a materially new collection, use, or disclosure of personal information, we will obtain new consent where required by law. We will not rely solely on continued use of the Platform as consent where applicable law requires a different form of consent.
20. Questions and Complaints
Please contact our Privacy Officer first if you have a question, request, or complaint. We will investigate privacy complaints and take appropriate steps where a complaint is justified.
